Attachment Manager is a tool designed to help manage your attachments for which no rules exist. In cases like this you would want to open Attachment Manager and simply move or delete the attachments manually. The Attachment Manager Window
The Attachment Manager window consists of 5 sections. The Title bar, Menu bar, Tool bar, Status bar, Source Mail Folder List, Attachment List, Preview pane and the Destination File Folder List make up the Attachment Manager window. The Title Bar consists of the name of the window “Attachment Manager” along with the current source mail folder. If your Source Mail Folder List is not currently showing, looking at the Title Bar will reveal the current source mail folder. The Menu Bar consists of 5 menus. The File,
Edit, View, Tools and Help menus have functions similar to the standard
Microsoft menus. The File Menu has three selections, “Open Folder” which
allows you to choose a new source mail folder, “New Subfolder” which allows
you to create a new file subfolder, and “Exit” which allows you to close
Message Manager and return to Outlook. The two selections on the Edit Menu are “Move Attachments” and “Delete Attachments”. Selecting either of these will carry out the corresponding function. The “Select All” and “Deselect All” will select or
un-select all attachments in the Attachment List. This is extremely useful
when using checkboxes. The first option on the View Menu is “Filter Attachments”. This option allows you to select various options on the types of attachments you want to view. The next option is “Check Boxes”. This option places checkboxes next to the items in the Attachment List. This is sometimes useful when going through a number of items and using the standard shift and ctrl keys is not desired. *Note: You cannot drag and drop when checkboxes are turned on. The next option on the View Menu is called “Columns”. This option will allow you to choose which fields you would like to display in the Attachment List. Clicking on the “Advanced” selection will allow you to change the order of the fields. “Size Columns to Window” is a quick way to have your columns distributed over the space of the window size. This is a quick way to shrink or expand your columns. The “Folder List” selection displays the “Source Folder List”. A check mark will appear next to this selection if the “Folder List” is currently displayed. To view the size of folders, select “Folder Sizes”. A check mark will appear next to this selection if the “Folder Sizes” are currently displayed. The “Preview Pane” option displays or hides the preview pane. A check mark will appear next to this selection if the “Preview Pane” is currently displayed. The “Include Subfolders” option will display all of the attachments in the parent folder and all subfolders. A check mark will appear next to this selection if attachments in subfolders are currently displayed. To refresh the list of items currently displayed in the Attachment List, select the “Refresh” item on the View Menu. The only option on the “Tools Menu” is “Options”. When selecting “Options”, the following window is displayed: With the exception of the “Keep paperclip icon” option, the options displayed on this window pertain to Attachment Manager only. When viewing in Message Manager, the “Days Old” entered here is used to display the appropriate messages. The “Prompt to filter messages” option when checked will display a date filter window whenever a mail folder is selected. If you do not want to filter attachments by date turn off this option. The “Always Prompt for Filenames” and “Automatically Process Filenames” sections are similar to the settings in Attachment Clerk. Please see the Attachment Clerk section for an explanation of these items. The “Perform thorough scan for attachments” setting allows you to select a slow scan that opens every message and looks for attachments. The last option on the “Options” window is to have Outlook minimize and disable itself while you are using Attachment Manager. This avoids any potential problems that could arise by using both Outlook and Attachment Manager at the same time. The selections on this menu consist of “Contents”, “Usage Totals” and the “About Attachment Executive”. The “Contents” selection displays the help file, the “Usage Totals” selection displays a summary of your Attachment Executive activity, and the “About Attachment Executive” displays information pertaining to the version of Attachment Executive you are currently running. The Tool Bar allows you to quickly select menu options. From left to right, the buttons are for the menu items:
The Status Bar displays three sections of information. The first section indicates whether or not you have any filter settings applied. The middle section indicates the number of attachments in the Attachment List. The last section indicates the total size of all attachments in the Attachment List. The Source Mail Folder List displays a tree of mail folders similar to the Folder List in Outlook. It allows you to easily switch between mail folders to look for attachments. To select a new source mail folder, simply select the mail folder in the Source Mail Folder List. The Attachment List will list attachments that were found in the source mail folder (and subfolders if you have the “Include Subfolders” option turned on. The Preview Pane display detailed information about the message that contains a particular attachment. The title bar of the Preview Pane displays the name of the person who sent the message and the subject of the message. The main window area of the Preview Pane displays the text of the message for the currently selected attachment. The Destination File Folder List The Destination File Folder List allows you to select where you would like to move attachments. For example, if you select the folder “C:\My Documents”, then selected attachments will be moved here when you select the menu option “Edit…Move Attachments”. You do not need to select a destination file folder when you select the menu option “Edit…Delete Attachments”. |
